Event Coordinator

Location:  Nailsworth, Gloucestershire
Type:  Full time permanent contract

Summary:

The Events Coordinator will work as a key member of a small, friendly and dynamic team across a range of international exhibitions and conference.  The main purpose of the job is to handle the administration for the exhibitors but to also assist with conference administration and general event planning.

The Role:

The role of the Event Coordinator will include the following tasks:

  • Responsible for handling all communication with confirmed exhibitors including answering queries as required, preparing regular exhibitor bulletins and reminding clients of important deadlines
  • Liaison with speakers, committee, chairman and poster presenters
  • Maintaining accurate administration lists of all confirmed exhibitors including accurate floorplans, exhibitor’s lists and furniture orders
  • Responsible for coordinating online handbooks that provide exhibitors with the necessary information to participate in the exhibition
  • Coordinating all registration systems both pre-show and onsite at the events including setting up of all online systems and handling all delegate and visitor enquiries
  • Liaison with exhibition contractors including freight, accommodation and stand contractors as required
  • Venue liaison: Room set up, catering requirements, deliveries and timings
  • Assist with the recruitment and management of temporary staff as required
  • Maintaining accurate databases as required
  • Booking travel and accommodation for staff and speakers
  • Sourcing promotional giveaways
  • Attending exhibitions both in the UK and abroad as required.  Unsociable hours are required at times.
  • Basic administrative duties as required

Ideal skill set of the person that we are seeking:

  • Experience in event or conference organising
  • Very proficient in the use of Microsoft Word, Excel, Powerpoint, Outlook.
  • A natural ability to work with a range of IT systems and packages
